1. Scope

This Policy applies to all information collected through the Service and related websites.

For custom registration fields created by an Organizer, the Organizer is the “data controller” and Happy Outing acts as a “processor.” Organizers are responsible for the content of their custom fields and any information they request from Participants.

2. Information We Collect

We collect the following categories of information:

  • Account Data: Name, email address, and password (stored in hashed form).

  • Organization Data: Organization name, billing contact, and account-level information.

  • Event & Registrant Data: Information submitted by Participants during event registration, including custom field responses. Only confirmed Registrants count toward Event capacity and billing.

  • Payment Metadata: We do not collect or store card numbers. Our payment providers (e.g., Stripe) provide us with limited metadata, such as transaction confirmation and subscription status.

  • Technical Data: IP address, browser/device details, cookies, and analytics logs.

  • Communications: Support requests, customer service correspondence, and feedback.


3. Prohibited Data

Organizers may not use the Service to collect sensitive or prohibited categories of data, including:

  • Social Security numbers or other national ID numbers.

  • Full payment card or bank account details.

  • Health or biometric data.

  • Government-issued IDs (except where legally required and disclosed to the registrant).

  • Sensitive categories such as race, religion, union membership, or sexual orientation.

  • Precise geolocation data.

  • Information from or about children under 13.

If such data is identified, we may suspend access and request deletion.

We use the information we collect to:

  • Provide, secure, and improve the Service.

  • We do not automatically delete Event data. Organizers control deletion of Events or accounts. Deleting an Event or account permanently removes related data from the Service.

  • We may retain limited records (e.g., invoices, transaction logs) as required by law or compliance.

  • Service Discontinuation: If Happy Outing permanently shuts down, we will use reasonable efforts to allow Organizers to export data before shutdown. After that period, Event data will be securely deleted.


7. Security

We implement reasonable administrative, technical, and physical safeguards to protect information. However, no system is completely secure. We cannot guarantee absolute protection against unauthorized access or loss.

We will provide legally required breach notifications if a data breach occurs.

8. International Users & GDPR

The Service is hosted in the United States.

If you are located in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, you may have the following rights under GDPR:

  • Right to access the personal data we hold about you.

  • Right to correct inaccurate data.

  • Right to request deletion of data.
